Checking Cadets In and Out of School


ORAH is the software Riverside uses to manage cadet checkouts, check-ins, and transportation requests. It is important that parents understand when and how to use ORAH. Please refer to this handy guide and the Frequently Asked Questions below, but we're available to answer any questions you may have. Frequently Asked Questions

Is Riverside using ORAH for leave requests for doctor appointments, ortho appointments, and others when the parent is taking the Scout/Cadet off  campus? 

Yes. A request may be made under a “New Pass” which can be found under the + button. To submit a request, select the pass named “Special Leave Involving Missed Academic Time.” You will receive an email acknowledging your request once it has been seen and endorsed by the Academic & Commandant staff. 
 
Will Riverside require parents to submit transportation requests through ORAH only?

Yes. If your Scout/Cadet will need transportation involving a flight, the parent may make a request in ORAH by selecting the pass named “Special Weekend Leave Request Involving Flight.” If the date/time is not a date/time that Riverside’s transportation team can accommodate, the requesting parent will receive an email with that information. If parents have questions about transportation time before booking flights for their Scout/Cadet, they may contact transportation@riversideprep.org.
 
Will Riverside be using ORAH for all parent visitation requests?

Yes. Parents should submit a “Campus Visitation” form in ORAH under “New Pass.”
 
Do parents need to request leave in ORAH if their cadet is leaving campus in their own personal vehicle?

Yes. Parents must submit a “Weekend Leave - Cadet POV” form in ORAH under “New Pass.”
 
Who is in charge of approving all requests?

All requests will be approved by the Commandant staff. Some requests will need to be endorsed by other departments like the Infirmary staff or Academic staff depending on the type of request. You will receive an acknowledgement via email of your request once all necessary parties have approved.
 
What is the time frame that parents should expect to receive an approval of their request?

All requests should be acknowledged within 24-48 hours. Some passes may take longer if the request requires multiple parties to approve, i.e. “Weekend Leave With Host” due to the pass requiring special authorization/confirmation. 
 
What does a parent need to know before making a request for “Weekend Leave with Host?”

A “Weekend Leave with Host” requires the requesting party to provide the host’s email address. The host will receive an email notifying them that the request is being made and it will require the host to approve before the requesting party receives an approval. These “Weekend Leave with Host” requests will still require approval from Riverside Commandant staff as well.  
 
How early can Riverside post leave request forms for open weekends, parent visitations, etc.?

Parents should already have access to all available passes. The open passes can be found under “New Pass”. 
 
Can parents make multiple requests at a time?

Yes. However, please make only one of the same requests at a time. For example: Parents may submit a request for an upcoming open weekend under “Weekend Leave with Guardian” and submit a request for “Special Leave Requiring Missed Academic Time” if that Scout/Cadet needs to leave for any reason that week prior. However, please DO NOT submit multiple “Weekend Leave with Guardian” at a time etc.   
 
Is there any reason why a parent's “approved” request may change?

Yes. Please understand that approval is contingent upon your cadet being in good standing academically and in conduct (passing all classes and no punishment hours).  Riverside will know this no later than Thursday afternoon at which time the ORAH system should provide you an email stating that your cadet has been “gated.”  If you receive this email, it simply means he is either failing or has punishment hours and is ineligible for leave at this time and the approval is void.   If you need further assistance, please contact your Cadet’s TAC Officer.
 
What if the Scout/Cadet returns after their approved requested time of return?

Riverside is assessing a $200 late fee for all Scout/Cadets who return to campus after 6:00pm on the required date of return unless there is prior authorization. Any requests that require prior authorization of a late arrival MUST be submitted in ORAH when a leave request is made. 
 
Can a parent submit a request like a “Campus Visitation” for someone other than themselves?

If a parent is giving permission for their Scout/Cadet to be visited by someone other than themselves without the parent being present, that person's name must be notated in the request. The permitted visitor must show ID when checking in. All visiting minors must be accompanied by an adult. 
 
What if the student has medication on campus that will need to go home with him for a particular leave?

Parents should specify what that medication is in the notes section of the request. Medications can be picked up in the infirmary if the student is being picked up by a Guardian/host or if he is leaving in his own personal vehicle. The Infirmary will provide that Scout/Cadet with his medication(s) if he is leaving via Riverside transportation. 
 
Who should a parent contact if they are having trouble accessing ORAH? 

Parents may contact Information Technology if they are unable to log in to their already created account. That email address is webhelp@riversideprep.org.
